POSITION TITLE: Executive Legal Administrator
REPORTS TO: General Counsel
DEPARTMENT: Legal

Overview

The Legal Assistant is responsible for providing clerical and organizational support to the General Counsel by tracking legal matters and proactively completing projects as needed. Professional verbal and written communication skills are necessary as this position requires communication with the General Counsel, field personnel and outside counsel. An understanding of handling sensitive company information is crucial.

SPECIFIC RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

  • Responsible for calendaring deadlines and important dates, including but not limited to, response deadlines, insurance requirements and payment dates, inspection dates, lien deadlines, review comments on contracts, mediations and depositions.
  • Preparing letters, responses, insurance claim notices, bond requests and an assortment of correspondence.
  • Performing background research on insurance claims, 558 Notices, and job site incidents. This includes working with the claimant’s attorney and property management to schedule inspections, gathering information from field personnel and tracking important dates.
  • Prepare contract packages to send to customers. Send notification to appropriate Power Design personnel. Copy, scan and file contracts.
  • Review attorney invoices with General Counsel, submit for payment and track invoice details.
  • Correspond with and gather information for outside counsel.
  • Update legal spreadsheet with contract information, bond information and lien information.
  • Review subcontractors’ Certificate of Insurance and submit to A/P for filing or for needed revisions

QUALIFICATIONS:

  • Bachelor’s Degree in related field
  • Proficient in Excel, and computer skills

  • Non-smoker
  • Experience in the legal field, particularly working with a corporate General Counsel.
  • Organized and efficient.
  • Strong verbal and written communication skills.
