About the Position
Power Design is seeking a detail-oriented and highly organized Facilities Systems Implementation Specialist to support the rollout, implementation, and launch of our new Computerized Maintenance Management System (CMMS), FMX, at our headquarters campus.
This role will be instrumental in preparing, validating, and organizing campus data, assets, and workflows to ensure a successful CMMS go-live. From auditing assets and inventories to standardizing naming conventions, mapping campus spaces, and supporting system configuration, this position plays a hands-on role in building the foundation for long-term facilities operations.
This is a contract position with an expected duration of at least six (6) months, with the potential to transition into a permanent role upon successful project completion and based on business needs. The ideal candidate enjoys working at the intersection of data, systems, and physical environments and thrives in a collaborative, fast-paced setting.
Position Details / Responsibilities
Asset & Inventory Auditing
- Assist with comprehensive asset list audits, including data cleanup, field verification, and preparation of standardized datasets for FMX import.
- Support inventory audits through physical walkthroughs, validating stock levels, confirming storage locations, and updating spreadsheets for accuracy.
- Perform data analysis and cross-checking for all operational logs, including inventory, assets, furniture, artwork, and campus material schedules.
Data Organization & Standardization
- Support the creation and standardization of naming conventions across buildings, rooms, storage locations, and new inventory spaces.
- Assist with storage area naming conventions, labeling plans, and preparation of import-ready location hierarchy data.
- Help prepare clean, structured datasets to support system migration and long-term usability.
Campus Mapping & Documentation
- Partner with Property leadership to confirm campus maps and floorplans are accurate and up to date.
- Label rooms, spaces, and assets across campus and prepare finalized map files for FMX’s interactive mapping tool.
- Document and photograph assets and locations campus-wide; organize and label photo files for system integration.
System Migration & Configuration Support
- Assist with auditing and migration planning of Jira tickets, identifying duplicates and preparing data for transition into FMX.
- Help develop and test FMX request types, custom fields, and workflow logic in partnership with trade and facilities teams.
- Support FMX Preventative Maintenance (PM) buildout by reviewing schedules, identifying gaps, and preparing PM forms and checklists.
- Assist with configuring and validating FMX global settings, including routing rules, notifications, SLAs, and user permission templates.
Documentation & Training
- Contribute to SOP development, quick-start guides, training slides, and process documentation to support system adoption.
- Support knowledge transfer efforts to ensure teams are equipped to use FMX effectively.
Here’s What We’re Looking For
- Direct experience implementing or supporting the implementation of a CMMS or facilities management system (such as FMX, Maximo, Archibus, ServiceChannel, Maintenance Connection, or similar) is required.
- Experience supporting facilities, property management, or operations teams during a system rollout, including data preparation, validation, and go-live support.
- Proven ability to audit, clean, organize, and validate large datasets with a high level of accuracy and attention to detail.
- Comfortable performing hands-on, field-based work, including campus walkthroughs, asset verification, inventory counts, and photo documentation.
- Strong proficiency with Microsoft Excel, including sorting, filtering, and preparing data for system imports.
- Ability to apply and maintain standardized naming conventions, location hierarchies, and data structures across physical spaces and systems.
- Experience working with work order systems, asset management tools, Jira, or similar platforms in support of operational workflows.
- Ability to read and interpret floorplans and campus maps and support labeling and documentation efforts.
- Highly organized with strong time management skills; able to manage multiple workstreams and shifting priorities.
- Comfortable collaborating with facilities leadership, property teams, trade partners, and system stakeholders.
- Self-directed and accountable, with the ability to work independently while providing regular progress updates.
